Search notes and time entries

Notes/Time Search finds a word or phrase in the notes of every ticket you can see, written by anyone on your team. Use it to find how a problem was fixed before, or which ticket a customer’s earlier request was on.

  1. On the Tickets tab, open View and choose Notes/Time Search, below Ticket Search.

  2. Type at least three characters.

  3. Narrow the search if you want:

    Filter Starts as Does
From, To The last 90 days The days searched, at most one year.
Member All members Only notes and time entries one member wrote.
Company Any company Only tickets of one company.
Sources Both Time entries, including their internal notes, and Ticket notes. At least one stays on.
Kinds All three Discussion, Internal and Resolution. At least one stays on.
Board Types All on Service, Monitoring, Sales, Project and Other, those your boards have. Turn off Monitoring, say, to leave out alert tickets. A board with no type counts as Other. At least one stays on. Not shown when all your boards are of one type.
  4. Press Enter or click Search.

The search runs from the newest day back, two weeks at a time, and results appear as each two weeks are searched, newest first. While it runs, Search reads Stop: click it to end the search and keep what was found. A search ends at 500 results; narrow it to see more. Changing a filter while a search runs stops it.

MTX remembers your Member, Sources, Kinds and Board Types in the same browser. For board types it remembers the ones you turned off, so a type your boards gain later starts on. While MTX stays open, the view keeps your last search and its results when you switch to another view and back.

Each result shows the ticket, its company and status, who wrote the note, the hours of a time entry, and the note’s text with every match highlighted. Service and project tickets are both searched.

Click a result to open the ticket with that note in view and highlighted. Close the ticket to return to your results.

In a ticket’s Notes tab, the Search other tickets’ notes and time button beside the notes search box opens Notes/Time Search for the same words, within the ticket’s company. The title and the results name the company; Search all companies beside the results widens the search to every company.

Notes/Time Search shows only tickets you could open in MTX. A note on a ticket of a board you have no rights to, or a board you are excluded from, is never shown or counted, its ticket number included. Internal notes are shown to every member who may open the ticket, as its Notes tab shows them.
