Data and security

For Read
The client index Companies (name, status, types, territory, market, marketing groups, custom fields, sites and their addresses), contacts (company, types, custom fields, whether inactive) and agreements (company, type, dates, cancellation).
Your lists Company types, statuses, territories, markets, marketing groups, custom field definitions, contact types, agreement types and service boards’ statuses.
The on-site layers Open service tickets in your on-site-needed statuses, and schedule entries at on-site locations, with the tickets and activities they are for. Read only when someone switches a layer on, changes its range or refreshes it.
Visibility Each member’s security role and location, to work out the companies they may see.

Client Mapper never writes to ConnectWise.

  • The client index, for your company only. It holds no contact names, email addresses or phone numbers. It is deleted when no map has been created or opened for 90 days. See The client index.
  • Site locations found for your sites, for your company only, with the address each was found from.
  • Saved maps: their name, description, criteria, whether private, and who created and last changed them, with a record of every change and deletion.
  • On-site statuses your company chose.
  • On-site layer reads are held for five minutes in the server’s memory only, to answer colleagues asking for the same thing, and never stored.

Describing a map in a sentence sends OpenAI:

  • your sentence and any current criteria;
  • your lists: company types, statuses, territories, markets, marketing groups, custom field definitions, contact types and agreement types, with their ConnectWise ids.

It never sends a company, site, contact or agreement, or any name or address from them. A distance measured from a client’s site is kept out of the request too.

The call uses your company’s own OpenAI key when you have a working one (set on Ticket Automation’s OpenAI Key page); otherwise, or if your key fails, Nilear’s. Building a map by hand, counting, opening and refining a map without a sentence send nothing to OpenAI.

To locate a site, Client Mapper sends the site’s address (street, city, state, postal code and country) to Microsoft Azure Maps, and keeps the location it returns. It sends no company name and no contact. A postal code used as a distance’s centre is looked up the same way. The map itself is drawn by Azure Maps in your browser.

  • Every map shows each member only the companies, contacts and agreements their own ConnectWise access shows them. See What each person sees.
  • A private map is seen by its creator only.
  • Team homes: members’ home addresses are seen and changed on the Team homes page only by your company’s Admins, and by each member for themselves. On the map, a home marked private is shown only to Admins. Home addresses are never written to logs.
