Agreement mappings
An agreement mapping ties one ConnectWise agreement addition to a set of the client’s users. Each sync counts the set and, when something changed, updates the addition. Mappings are on a company’s Agreements page.
Kinds of mapping
Section titled “Kinds of mapping”| Mapping | Counts | Needs |
|---|---|---|
| Company-wide Mapping | All the company’s active, synced users | Contact sync on |
| Group Mapping | Members of a group, including dynamic groups | Any source |
| OU Mapping | Users under chosen OUs | Active Directory or Google Workspace |
| Microsoft 365 License Mapping | Licenses of one Microsoft 365 subscription | Microsoft 365 or Partner Center |
A mapping can be refined: combined with other groups or licenses by Union, Intersection or Difference, filtered to some OUs, limited to the company’s filtered users or to one source, and given people added or excluded by hand. See the how-to guides from Bill every user on.
Each addition can belong to one mapping only. The same group can feed several additions with the mapping’s copy button.
The count
Section titled “The count”ConnectActive works out the count written to the addition’s Count like this:
- the users the mapping counts, with people added by hand and without people excluded by hand;
- for a license mapping, plus the licenses bought but not assigned, unless Exclude Unassigned Licenses from Count is ticked;
- plus More Included;
- at least Minimum Count.
Less Included is the addition’s own ConnectWise field: the mapping shows it so you can set it there, and ConnectWise bills the count minus it, shown as Total Billed.
With Do Not Update Count, the count is left alone and only the description is written: useful to list covered users on an addition whose quantity you set yourself.
The price
Section titled “The price”With the Pricing Method Standard (Unit Price * Count), the addition keeps the unit price and cost you set, in ConnectWise or in the mapping’s Unit Price and Unit Cost. With a tiered pricing schedule, it sets the Unit Price and Unit Cost so that the total matches the schedule.
The invoice description
Section titled “The invoice description”When a mapping writes a description, ConnectActive replaces the addition’s Invoice Description with, in order:
- the pricing rules applied, for a tiered schedule;
- the Top Comment, if any, then the product description: the ConnectWise product’s customer description, or the addition’s own description when the product cannot be read. Exclude Product Description leaves the product description out, so the Top Comment alone heads the description;
- with Include Users on Invoice, the covered users, by name or with Use Email Addresses instead of Names on Invoice by email, sorted by first or last name. Up to 50 names are listed one per line, more are comma-separated, unless List Separation says otherwise;
- with Include Changes on Invoice, the users added and removed since the addition was last invoiced.
The description is cut at ConnectWise’s length limit.
When additions change
Section titled “When additions change”An addition is updated by every sync that finds a change. When billing is behind, the Prorate Options tab decides whether it keeps changing (Turn on prorating). With prorating on, changes after an invoice add prorated additions (Prorating).
When a source is removed
Section titled “When a source is removed”A mapping that counted users of a removed source is detached: it keeps its addition and settings, counts no one, and leaves the addition unchanged until you choose a group or license from a current source. It is shown with the name of the source it came from and a prompt to select a new one. See Add a company.
